Describe the hat you are trying to source

Include the preferred colour, trim, approximate style and the wearer group. If a particular appearance is essential, provide a reference image you are authorised to use and explain which details matter. A reference is a starting point for discussion; it does not establish that an identical product is available or that its specifications can be inferred from the photograph.

Separate essential and flexible details

A fixed event date may be essential while a minor shade difference may be acceptable. Tell the quotation team what can change and what cannot. This helps alternatives be assessed sensibly if the initial brief cannot be met. Avoid approving a substitute based only on a broad description such as festive hat; ask for the actual item details.

Clarify the unit being quoted

Write quantities as individual hats unless you intend to request packed units. Ask for any minimum order and packing information to be confirmed. A low-looking unit figure is not enough to compare quotations if setup, branding or transport are excluded. Include artwork early
