A hat and a logo are one specification

Choose the proposed hat before treating the artwork as final. A logo position that works on a flat panel may not work on thick trim or across a seam. Give the quotation team a preferred location and explain whether recognisable branding or a longer festive message is the priority. The available area must be checked against the actual item.

Send a clear source file

Upload the clearest PNG, JPG or PDF version available within the form’s file limit. Include spelling and layout instructions in the written brief rather than relying on the file name. If the design contains fine lettering or several colours, highlight those details. Artwork may need adjustment after the hat and branding method have been confirmed.

Keep individual names in a structured list

If personalisation is part of the enquiry, describe it clearly and request confirmation that it is practical. Keep names in a checked list with exact spelling and capitalisation. Distinguish a single company logo repeated on every item from a different design for each wearer. These are different requirements and should be quoted as such.

Review a product-specific proof

Check the final wording, proportions, placement and colours on the proof. Make sure it refers to the same product and quantity as the quotation. A digital proof communicates the approved design; ask for any sample or appearance confirmation you need before production. Do not approve an unclear preview simply to keep an unconfirmed timeline moving.

Confirm compatibility and costs

Ask the team to identify the proposed product and compatible method, then separate item cost, artwork or setup, branding, VAT and delivery in the quote.

Retain the approved version

Save the final file, proof and order reference together. For a later repeat order, confirm the product and process again rather than assuming an earlier specification remains available. A useful record reduces the risk of sending an outdated logo or approving a different placement by mistake.
